Privacy Policy & Data Processing Notice

GDPR Summary at a Glance: SmartBins.ie and BinBot process minimal resident data solely to authenticate communal bin store access, eliminate unauthorized commercial fly-tipping, and assist with correct waste segregation. We never sell your personal data, track your location outside bin access, or conduct commercial profiling.
🛑 Right to Erasure ("STOP" Protocol): If you wish to stop using BinBot and permanently scrub all your data, simply send STOP to BinBot on WhatsApp (+353 89 457 0801), SMS, Email, or click "Scrub Data" in the Resident Portal. All associated records and messages will be permanently deleted from our database immediately.

SmartBins.ie operates as a Joint Data Controller alongside your residential development's Owners' Management Company (OMC) and Managing Agent for the purpose of managing communal waste store security and access control under the Laws of Ireland.

2. What Personal Data We Collect

We strictly adhere to the principle of Data Minimisation (Article 5(1)(c) GDPR):

  • Resident Profile Details: Resident Full Legal Name, Apartment/Unit Number, Development Name, Mobile Phone Number, Email Address, and Age Verification (confirming 18+).
  • Unlock Activity Logs: Timestamp, Bin ID, unlock channel (WhatsApp, SMS, Mobile App, Web Portal, or RFID Fob), and electronic lock battery status.
  • Conversation History: Contextual message exchanges with BinBot to provide accurate waste sorting advice and latch release commands.

3. How We Use Your Data

Your personal data is used solely for the following legitimate purposes:

  1. To authenticate your residency and grant electronic latch access to communal recycling and waste bins.
  2. To respond to your waste sorting and recycling inquiries (e.g. "How do I recycle aerosol cans?").
  3. To deliver crucial OMC waste collection schedule reminders and service notices.
  4. To prevent unauthorized commercial dumping and fly-tipping in private residential developments.

4. Data Storage & Security

All data is stored securely in Google Cloud Firestore (EU-West region) with encryption at rest and in transit via TLS 1.3. Access is restricted strictly to authorized systems and your development's OMC administrator.

5. Your Rights Under GDPR & Irish Law

You have the right to access your data, rectify inaccuracies, obtain a portable JSON copy, restrict processing, and demand instant erasure by sending STOP. For formal inquiries or complaints, you can contact the Irish Data Protection Commission at www.dataprotection.ie.
